How many medals and ribbons does an event need?
Count your award moments, not your athletes: places awarded per division, times the number of divisions, plus about 10 percent overage for ties, errors, and last-minute divisions. A 12-division tournament awarding three places needs 36 medals plus 4 spare, roughly 40 pieces.
The counting method that prevents shortages
List every division and every place that receives an award, multiply, then add 10 percent. Overage medals without engraved names cost little and rescue the ceremony when a tie or a missed division appears. Undersupply cannot be fixed at 4 p.m. on tournament Sunday.
Stock vs custom: what to order when
Stock medals with activity inserts and stock placement ribbons (1st through 6th) are available on days of notice and carry no minimums. Custom-printed ribbons with your event name and custom die-struck medals need two to four weeks and carry minimums. Big annual events order custom; first-year events usually start stock.
Neck ribbons, drapes, and colors
Medals hang from neck ribbons in stock color combinations; matching your event or school colors is usually possible from stock. For podium photos, consistent ribbon color across all placings photographs cleaner than color-coding by place.
Engraving the backs
Most die-cast medals accept a back engraving or an engraved plate with the event name and year. Engrave the event, not the recipient, on bulk orders; recipients are announced, medals are interchangeable, and the ceremony never stalls hunting for a name.
The event-week timeline
Two weeks out: confirm division counts and order. One week out: receive and count everything against the division list. Day before: bag medals by division in labeled bags. This 30-minute prep step is the difference between a smooth podium and a scramble.
